Thinking ahead. Obviously we need to recruit a publicity officer if possible at the AGM but do we need to go further.

If we don't already we need to have a role description similar to this http://kingslangley.scoutsites.org.uk/f ... inator.pdf so they know whats expected. I would assume that Chris would help draft it.

Do we set a budget for publicity and include in this a reasonable sum for travel expenses if we are expecting them (or a delegate - maybe even a team) to attend agreed shows to showcase our sport. This budget should also include a sum for taking out adverts in suitable publications.

Do we need to have the Kit car (or an old car) fully painted and logo'd up to show at these events, and if run at them (or our own races) the team name is secondary to our name.

As part of publicity do we assist/subsidize/sponsor an entry in major non-bhpc events eg Ringwood, ScoutCars, Red Bull Soapbox providing that the entry carries our logos/sponsor as part of the team name. It need not be the entry fee but could be assistance with transport, drivers, accomodation etc and could be different teams at each event. Or do we enter the kit car as a federation entry with volunteer drivers?

Thoughts?

ps we can't let Chris, Jes, Alan etc keep doing publicity for us for free.

Marc Lohez certainly has the skills and probably the contacts to do this, but would he be willing to do it and could we afford it.

The answer is yes but what we can't afford to do again is have someone volunteer to do it at the AGM and then do precisely nothing for an entire year as happened from 2014 - 2015.

And yes we do need a budget to cover expenses given that it's currently a tiny sport where everyone gives their time for free like scouting and any other voluntary organisation.

Of course to do any of this race fees have to go up if we budget on the same level of support for events that we had this year.

I wonder if to coin a phrase, we ought to concentrate on events that give us the biggest bang for our buck.

Eg, Ringwwod/New Milton, some HPV races etc

I have some concerns regarding travel expenses for publicity...

If we are saying that we are going to pay travelling expenses for the new publicity person then surely we should do the same for Phil (timing), Mark (Race Control), Gary (Scrutineering) and anybody else that gives their time and covers their own cost to help the sport without actually racing?

I'm not sure we can afford to do that without raising race fees to a level that might have a negative impact on the number of entries.

My view is that we have to just keep chipping away and taking every opportunity.

It's also little things like making sure everyone has some season guides to hand.

We have, in the past, totally dropped the ball such as having races at Solihull and nothing to give out (corrected this year) and sending Alan to York with a car but no literature but we are getting better.

yeah travel expenses might not be an option or desirable for those reasons, but we do need a budget for getting publicity produced and distributed. We may need to pay for stands etc at certain events.

Think we do need to target our publicity to groups likely to be interested.

I think there'll be priorities for funds next year ahead of non race expenses...
