I am happy with whatever is regarded as neede to promote the sport.

As mentioned earlier Team 105 are running an event for the 100 th anniversary of cubs scouts in wales in June wher we will have upto 1000 cubs.

I make that a majority then... So we have £200 worth of funding with the remainder to be made up from entries.

Mark: Please can you confirm that our existing insurance will cover this event? It will effectively be a normal pedal car race with the only difference being a lot more people on site than usual.

As long as they are happy we have £5m PLI,
It's a closed karting circuit no different to using Blaskbushe or Shenington

Very little support for this unfortunately but having taken the view that if you don't ask you don't get, I asked for a reduction in the track hire fee and they have now halved it to £250 unless we get more than 20 cars in which case it will be £500.

So if the club can pay for the track at £250 we can offer free entry to this event for up to 20 cars, first come, first served...

I suggest we make entry available online and see what we get?

Any thoughts??

Sounds good to me, although as we originally said £30 so what about £10 per car to help cover the cost?
Then depending on what facilities are on site maybe we could see if we could also get a tea urn on the go and maybe bacon rolls as well with a small subsidy to a scout group to do it?

I agree.
£10 or £15 per car is a token amount to pay for the weekend (and, indeed a 6 hour race imo but that's another story!)

I keep harping back to this but at the last AGM we voted to decrease our income per car in full knowledge that entries were likely to be down this year so although this event is something we need to be fully committed to we do need to realise that at some point Mark will tell us there is no more money!

Maybe we should be charging a nominal fee per person for this event rather than per car because a) there aren't likely to be many full teams, b) everyone will get a weekend of camping/facilities and c) most of the cars are likely to be provided by Jes!
We had already said the club would pay £200 though and this event surely must be worth that in terms of publicity.
The most important thing is to attract as many cars and drivers there as possible so that we can put on a decent display.

How many drivers per team?

How will entry into the site/facilities/show be controlled. If by a pass and we need to give numbers then we need to know how many are coming so make it £5 per person, everyone to require a "ticket" including helpers etc to gain entry.

If its open upto 20 cars make the entry £15 per car.

Then ask Mark to set it up in the shop

If we were to get more than 20 cars then the track hire fee would go back up to £500, but I'm really not expecting to have to face that problem...
